Print Management

Take greater control over printing in the office & at home, while improving user experience and reducing print volumes & expenditure

Print management affects many areas of the business and a range of processes that are sometimes overlooked.

Kappris smart printing saves money wasted in printing errors and saves time in messing about with printer settings.

Kappris recognises documents by their templates, metadata, even how they look, and sends instructions to printers to reconfigure their settings to match what the document requires.

For example, some document types can be forced to print double sided and in black and white and can achieve a huge cost saving.

Kappris is a universal interface which means it works with any brand of MFD or printer. This means the user experience is always the same, even in a mixed fleet environment with many different printer types.

Outlook Integration

The Kappris print tab makes it easy to specify which parts of an email conversation to print. Print the whole lot too, if you really want to. It automatically recognises how many email exchanges have taken place, and the user can then select any number of these to print. Our clients’ favourite feature is to set a default to print only the last two emails in a thread. It saves masses of wasted paper.

Printing attachments from emails is also made easier. No longer do you have to wait for applications to open, print, close, before moving onto your next task. Printing ZIP files is simplified as Kappris lets you view the attachment without unzipping files. It’s more secure too, since no extraction to other folders is needed.

Effective and practical print management is key to any business.

We can simplify your print processes, giving you control over the way your staff print. Streamlining email printing, which is often a firm’s most significant print output, will reduce paper and toner use, resulting in print savings and environmental benefits.

In their first year of using Kappris, BLM Solicitors saved 1.5 million sheets of paper just by using the print-last-2-emails-only feature in Outlook.

How to get started?

We need to understand from you what your technology environment is.  We’ve made this as simple as possible with a survey document for you to complete.

Once we have all of the information about your environment we can then plan the deployment and training of Kappris with you and your team.

Frequently Asked Questions

Does this work for home printers?

If you allow users to print to home printers you can configure Kappris to work with unknown printers with full reporting, even offline.

Can Kappris control our colour printing expenditure?

We know that colour printing can be very expensive and a lot of wastage is caused by human error (or lack of knowhow) in not changing the print settings to print in mono.  Kappris will automatically change print settings without manual intervention.  Our reporting facility can clearly show the usage of both colour and mono printing in your business.

Will I still need to use my printer macros?

Our clients choose to subscribe to Kappris because the printer controls are more reliable and easier to use than maintaining legacy macros.

Will Kappris work with our template management system?

Most of our clients use Kappris for all their printing requirements but you can keep using print facilities in your template management system wherever it suits you. Kappris will not interfere but you will still have the benefit of Kappris features whenever you need them.

Can I print part of an email thread?

With Kappris it’s possible to select separate emails from within one long threaded conversation.  For example, you can choose emails 2 and 5 from a thread of 20.

Can Kappris replace my follow-me print solution?

Kappris complements the different follow-me print solutions as they don’t do what we do and vice versa.

Is there reporting available?

Reports can be run to show usage by user, by device, by application, even to the name of the document.
